Student and Academic Policies

The university policies are explained in the Student and Academic Policies. This document can answer a lot of questions about registering for and dropping courses, attendance, grading policies,  academic honesty, minimum GPA requirement, commencement, financial aid, etc.

Percentage of Refundable Tuition Charges on page 42 explains the prorated refund amounts which is based on the date of last attendance.

For students receiving financial aid, prorated refund of tuition requires compliance with federal policy. Please consult with your financial aid advisor.

Withdrawal during Fall/Spring semester: Week 1 100% / Week 2 86.6% / Week 3 80% / Week 4 73.3% / Week 5 66.6% / Week 6 60% / Week 7 53.3% / Week 8 46.6% / Week 9 40% / Week 10 and beyond 0%

Financial Aid & Satisfactory Academic Progress (SAP) Policies, Minimum GPA, Minimum Completion Rate requirements are on page 59. Grade of W does not lower the GPA but a grade of WF will. Please see page 70 for more info. It is important for students to consult with their financial aid advisors to ensure continuity of aid.

Academic Standing (including Academic Probation and Academic Dismissal) is an important one to know on page 56. When the GPA falls below a minimum, students can lose financial aid.

Attendance Policy for online, onsite, and hybrid sections are on page 90. Consecutive absences in online sections will result in being dropped from class. This is an automatic procedure that does not involve faculty or the department. Please avoid being absent!

Grading Policies are on Page 94.

Grade of Incomplete policy is on Page 97. Students can work with their advisors to submit a Request for Incomplete. Extension is applicable only for the final class assignment (all other work must have been submitted). Requests must be approved by the instructor, department director, and the registrar. Academic Honesty is on page 130. Here is an excerpt:

All art, design, performance and compositional work, and all written work, must be the original work of the student and a result of their independent effort. Any work previously created by the student for another project and/or purpose may not be reused and claimed as original work unless authorized by the instructor. This includes misrepresenting work/material either created by someone else or AI-generated as one’s own or buying or selling written or visual work to be turned in for a class. Any quotations, paraphrases, or direct appropriation of imagery or ideas from source material, including that generated by AI, must be properly cited according to university, departmental, and/or instructor policy. All work created in collaboration used in whole (or in part) must be acknowledged as such, and correctly attributed to all co-creators.

Any student who plagiarizes will receive a zero for that assignment or project, with no opportunity to do the assignment again. All plagiarism offenses will be reported to the Department Director and to the Executive Office. Multiple instances of plagiarism in a single class will result in a final course grade of F, and a notation will be indicated on the student’s transcript.

Plagiarism is a violation of Academy of Art University’s Academic Honesty Policy. Multiple plagiarism violations will be grounds for suspension or permanent dismissal from Academy of Art University. This policy as written in the Student and Academic Policies constitutes an official warning to each student.

Unacceptable conduct includes “Abusive behavior including the use of profanity directed toward University staff, faculty, students, guests or visitors.” Profanity is defined as derogatory gestures or words specifically directed towards students, staff, faculty, guests or visitors.”
